This Privacy Policy describes how Best Hospice and Home Health ("we," "us," or "our") collects, uses, and shares information when you use BestHospice.com or BestHomeHealth.org (collectively, "the Platform").

1. Who This Policy Applies To

This policy applies to two types of users: families and individuals seeking care ("Families"), and hospice, palliative, and home care providers listed on the Platform ("Providers"). Different information is collected from each group, as described below.

2. Information We Collect from Families

When a Family submits a care request through the Platform, we collect the information provided in the request form, which may include name, phone number, email address, ZIP code, and general care preferences such as the type of care needed and timing. We do not request, collect, or store protected health information (PHI) including medical records, diagnoses, insurance information, Medicare or Medicaid numbers, or Social Security numbers. Families are instructed not to submit such information.

3. Information We Collect from Providers

When a Provider registers on the Platform, we collect business name, contact name, phone number, email address, service area (ZIP codes and cities), website, and other information needed to create and maintain a provider listing. Providers who subscribe to paid listings also provide payment information, which is processed securely by Stripe. We do not store full payment card details.

4. How We Use Family Information

Information submitted by Families through the care request form is used solely to connect them with Providers in their area. Specifically, upon submission of a care request, the Family's contact information and general care preferences are automatically shared by email with all verified Providers serving the Family's ZIP code. This happens immediately and automatically upon form submission. By submitting a care request, Families consent to this sharing.

5. How We Use Provider Information

Provider information is used to display listings on the Platform, match Providers with Family care requests, send Providers notifications of new care requests in their service area, communicate service updates and platform information, and process subscription payments where applicable. We may contact Providers via email or SMS for care coordination and service-related updates. Providers may opt out of SMS by replying STOP.

6. Automatic Sharing of Family Information with Providers

When a Family submits a care request, their contact information and stated care needs are immediately and automatically emailed to all verified Providers serving their ZIP code area. This is the core function of the Platform. Families should be aware that multiple Providers may receive and act on their information simultaneously. Best Hospice and Home Health does not control how quickly or in what manner Providers respond.

7. We Do Not Sell Data

We do not sell, rent, or trade personal information belonging to Families or Providers to any third party for marketing or commercial purposes.

8. Third-Party Services

We use the following third-party services to operate the Platform: Stripe for payment processing (Provider subscriptions), and email delivery services to send care request notifications to Providers. These services have their own privacy policies and data handling practices. We also use Facebook Pixel for advertising analytics. No Family PHI is shared with advertising platforms.

9. No HIPAA Coverage

Best Hospice and Home Health is not a HIPAA covered entity or business associate as defined by the Health Insurance Portability and Accountability Act. We do not collect or process protected health information (PHI). Families are instructed not to submit PHI through the Platform. Any health-related details voluntarily shared by a Family in a care request are shared at the Family's own risk and are not subject to HIPAA protections on our end.

10. Data Retention

Care request information submitted by Families is retained for a reasonable period to support Provider follow-up and platform operations, and is then deleted. Provider listing information is retained for the duration of the Provider's listing on the Platform and for a reasonable period after removal. You may contact us to request deletion of your information at any time.

11. Security

We use industry-standard safeguards including HTTPS encryption, access controls, and secure authentication to protect data stored on the Platform. However, no method of transmission over the internet is 100% secure. We cannot guarantee the absolute security of your information.

12. Children's Privacy

The Platform is not directed to individuals under 18 years of age. We do not knowingly collect personal information from anyone under 18. If you believe a minor has submitted information through the Platform, please contact us at contact@besthospice.com and we will delete it promptly.

13. Your Rights

You have the right to request access to the personal information we hold about you, request correction of inaccurate information, request deletion of your information, and opt out of SMS communications at any time by replying STOP. To exercise these rights, contact us at contact@besthospice.com.

14. Changes to This Policy

We may update this Privacy Policy at any time. We will notify active Providers of material changes via email. Continued use of the Platform after changes are posted constitutes acceptance of the updated Policy.
